Style Department Coordinator /Roster Coordinator

Our style department is looking for a part time Roster Coordinator internally referred as Style Department Coordinator who will be responsible for the administration, organisation and secretarial work involved in bringing together all aspects of the department’s functionality. We are looking at a start date at the latest beginning of January with a work pattern of 4 hours a day/5 days a week initially on a specified period contract of six months.

About the role

This role will facilitate and schedule the day to day bookings and allocations of SBS Broadcast Operations Style Department. Duties include but are not limited to:

  • Manage the hair/makeup/wardrobe roster, updating, liaising and confirming changes that have occurred to the affected staff members
  • Take hair, makeup and wardrobe bookings for the various services provided by the department
  • Manage the specific requests of each booking, including booking staff and updating timeteq system with booking details.
  • Manage staff hours in accordance to their contracts and Enterprise Agreement
  • Assist with administration tasks in relation to budgeting and credit card reconciliations
  • Must attend meetings that are relevant to the operational needs of the department, including but not limited to, weekly production meetings, creative services meetings, sports meetings and schedule meetings
  • Advance planning to coordinate priority bookings and ensure sufficient work flow throughout the department
  • Assist the Network Stylist with general administration requirements, such as but not limited to the presenter style guides and operating procedures
  • Assist with wardrobe needs when the stylists are unavailable
  • Manage the departments stock levels and orders

About you

We are looking for an energetic and organized team player who is proactive and has a high attention to detail.  What we are after:

  • Must have previous coordinator experience and provide examples that demonstrate this
  • Must be able to work in high pressure environments and problem solve quickly and efficiently
  • Must have effective organisation and administration skills, together with knowledge and experience of project management smart practices to facilitate the successful outcome of project objectives
  • Must have experience developing and maintaining ongoing communications with internal clients to ensure that they are provided with an efficient and customer-focussed gateway for allocation of their facilities needs
  • Must have great attention to detail in order to assist on complex productions, including problem solving and identifying mistakes and inefficiencies
  • Must be able to multitask have and excellent time management skills on multiple projects
  • Understanding of the hair makeup and fashion industry is an advantage but not essential.
